Any early use or extension of the booking time will be charged accordingly. - Entering the room before the reserved time, knocking on the entrance door, or attempting to open or close the door is strictly prohibited. - Users are free to enter and leave the room during booking. - After using the room, please wipe down the whiteboard and desk, vacuum the floor, and clean equipments. - Please keep the toilet clean after use. - Please refrain from loud noises such as shouting or listening to loud music so as not to disturb the neighbors. - Users can change the furniture arrangement. Please move items back to thier original position as shown in photos on the reservation web site after use. - Keeping the entrance door open is prohibitted. Please ensure the door is closed during use. - Please turn off the air conditioner and lights when leaving the room. - Posting notices on the building where the space is located or in its surrounding areas, placing items (including signs, banners, etc., or equipment within the space), and leaving trash behind are prohibited. - It is prohibited to take any equipments out of the space without permission. - Any actions such as unplugging or changing the wiring in the space without permission are prohibited. - Users can decorate in the space during booking. When using our space (hereinafter referred to as "Space"), the person making the reservation for the Space, as well as all users and visitors (hereinafter referred to as "Users") and related parties of Users, must first read and agree to all of the terms of use before applying. 1. Confirmation of Use ・When booking a space, please make sure that you can receive emails from the domain "@roomkiosk.com". If for any reason the email does not reach you, we will not respond to inquiries or provide compensation or refunds. ・We cannot accept changes to reservations after they have been made if the reservation date and time is later than the original, if the reservation time is shorter than the original, or if the usage fee is less than the original.In addition, users agree in advance that we may not be able to accept any other changes to reservations after they have been made at our discretion. ・Our company will install entrance and exit cameras in the space and in the common areas of the space, and will obtain and use the recorded and audio data only for the general operation and management of the space. The User agrees in advance that they will not be able to refuse entry in such cases. ・If we determine that it is necessary to change the space reserved by the reservation applicant or the space used by the user due to circumstances related to the facility, amendments to laws and regulations, or other reasons, the reservation applicant and the user must follow our instructions and agree in advance that, in some cases, they may be moved to a different space. - The user must keep in strict confidence any facts that he or she learns in relation to the service agreement and must not disclose such information to any other person without the consent of our company. - In preparation for an emergency, in order to enable users to respond and evacuate, the reservation applicant must check in advance at his/her own responsibility the location and usage of evacuation routes, emergency exits, and disaster prevention equipment, and must explain this to all users in advance. 2. How to use and precautions ・Please strictly adhere to the entrance and exit times. If you use the facility outside of your reserved time, you agree in advance that a penalty of either 2 times the regular usage fee for the actual time of use or 10,000 yen, whichever is greater, will be charged separately. If we determine that you are unable to pay the penalty or that there is a delay in responding, we may publish images and footage taken with the entrance and exit cameras on the Internet, or submit the images and footage to the police as a case of trespassing and report it to them. - Knocking on the entrance door or attempting to open or close the entrance door outside of reserved hours is strictly prohibited. ・Please take home all trash that is generated during your stay. If trash is found to be left in the room, including when other users contact you, you agree in advance that a cleaning fee of 20,000 yen will be charged. ・After use, please cooperate with simple cleaning of room fixtures and equipment, including wiping down whiteboards and desks, vacuuming floors, etc. If we determine that the room is significantly dirty after use, the user agrees in advance that a cleaning fee of 20,000 yen will be charged. ・Noisy behavior is strictly prohibited within the space, the building in which the space is located, or around its entrance (hereinafter referred to as "inside the space and the building, etc."). If there are complaints about noise from other space users, tenants in the building in which the space is located, visitors, or residents in the vicinity of the venue or nearby areas (hereinafter referred to as "other third parties"), or if we determine that the noise is causing or may cause a nuisance to other third parties, you agree in advance that you will be asked to immediately discontinue use and that a penalty of 30,000 yen will be charged. ・You may change the layout of tables, chairs, and other movable furniture in the space. When leaving the room, please be sure to return the layout to the standard layout posted in the room or to the layout shown in the photo at the top of the reservation page. In addition, when leaving the room, please close all windows and doors in the space. If it is confirmed that the layout has not been returned or that the windows or doors have not been closed, the user agrees in advance that a penalty of 10,000 yen will be incurred. ・Doors within the space and doors posted in the common areas of the space must not be left open. Please be sure to close them when you enter. If we receive complaints from third parties or determine that you are causing or may cause a nuisance to third parties because you left the door open, you agree in advance that a penalty of 30,000 yen will be charged. ・Please be careful not to forget to turn off the air conditioning or electricity when leaving the room. If it is confirmed that you have left the air conditioning or electricity on, you agree in advance that a penalty of 5,000 yen will be charged. ・Posting notices, placing items (including signs, banners, or space equipment), or leaving trash inside the building where the space is located or around its entrance are prohibited. If any such actions are confirmed, the user agrees in advance that a penalty of 20,000 yen will be incurred. ・It is prohibited to take any equipment from the space outside the space (including the building in which the space is located) without permission. If such an act is confirmed, the user agrees in advance that a penalty of 20,000 yen will be charged. ・If the user damages, defaces, or loses any facility in the space or in the building in which the space is located, or any equipment or fixtures in said facility, or if the user causes any other damage to a third party, please notify us immediately. If such a behavior is discovered without notification, the user agrees in advance that a penalty of 30,000 yen will be charged in addition to compensation for damages. ・Unauthorized unplugging of the space's wiring or changing the state of the wiring is prohibited. If such actions are confirmed, the user agrees in advance that a penalty of 20,000 yen will be charged. ・You may post notices and decorations in the reserved space and on its entrance door only during the reserved time (please note that notices cannot be posted on the common areas or on the doors of the common areas). Please use masking tape or other such tape to attach any notices or decorations in a manner that allows for the space to be restored to its original state. Please be sure to remove all notices and decorations when you leave the space. If it is confirmed that such a thing has been brought in, a penalty of 20,000 yen will be charged, and if cleaning fees are incurred in addition to the penalty, the user agrees in advance to be compensated for such damages in addition to the penalty. ・Smoking is prohibited in the space and in the building. If smoking is confirmed, including by smoke detectors installed in the room or by a third party, the user agrees in advance that a penalty of 70,000 yen will be charged as a cleaning fee. In addition, if smoking causes damage to our company or a third party other than the cleaning fee, the user will be required to pay compensation for such damage in addition to the penalty of 70,000 yen as a cleaning fee. ・Open flames are strictly prohibited within the space and in the building, etc. If a fire or other incident occurs due to the use of open flames, etc., the user will be required to compensate for any damages suffered by our company or other third parties. ・We strictly prohibit the use of the facility for lodging or the bringing of bedding. If any such acts are confirmed, the user agrees in advance that a penalty of 50,000 yen will be incurred. The tables, chairs, and other fixtures and fittings in the space may be changed to those different from those listed. 3. Space Restrictions If any of the following conditions apply to you or if any of the following conditions have previously applied to you, we will cancel your reservation or suspend all services to you and terminate the contract, and you will be required to restore the space to its original state at your own responsibility and expense and promptly leave the space. Any damages incurred in such cases will be borne by you, and we will not be held responsible in any way, and no refunds will be made. - If we determine that the reservation applicant information provided at the time of application (reservation applicant name, corporate/organization name, address, telephone number, email address, etc.) and the details provided at the time of application are contrary to the facts, or if we are unable to contact the reservation applicant. - If we determine that the content is causing or is likely to cause inconvenience to third parties. - If we determine that your use is causing inconvenience to third parties due to excessive volume. - If we determine that it is inappropriate from the standpoint of public morals or safety management. - If we determine that you have brought in or used equipment that exceeds common sense. - If you bring in a living animal other than a guide dog, assistance dog, or hearing dog. - If we determine that your use of the service may be contrary to public order and morals. - If any act violates relevant laws, regulations, or instructions or guidance from relevant government agencies. - If we determine that the user or someone related to the user is affiliated with or has ties to an organized crime group or other anti-social forces, or if we determine that violent demands or unreasonable demands that exceed legal responsibility have been made. - If you park on the street near the building in which the space you are using is located. - If we determine that you do not follow our instructions (including contact by phone, email, or speakers installed in the conference room during usage hours) or that you are in violation of the terms of use or the internal rules (regardless of name) of the building or facility in which the space is located. - If we determine that you have spread inappropriate word-of-mouth or rumors (regardless of medium) about matters that are outside the scope of our responsibility. - If we determine that you are making malicious inquiries to our company or are not responding to our contact in good faith. - Any other actions that our company deems inappropriate. 4. Separation of responsibilities ・The reservation applicant is responsible for ensuring that all users understand these terms of use and any notes and cautions posted on the reservation site or within the space. The reservation applicant agrees in advance that he/she bears final responsibility for any actions or incidents by all users or related parties of the users. - We shall not be liable for any events that occur during the use of the space, including before or after use, regardless of whether such events are due to the actions of persons related to the user, or whether such events are the fault of the user, our company, or any other third party. ・Please take strict care of your luggage and valuables at your own risk. In the unlikely event of theft or loss, our company will not be held responsible. In addition, our company cannot confirm, manage, store, or respond to any inquiries regarding lost items. If you wish to confirm or retrieve your lost items after the end of your reservation time, please reserve the space again and enter the room. ・If the user damages, defaces, or loses the facilities in the space or the building in which the space is located, or the equipment and fixtures in said facilities, or causes other damage to a third party, the user will be required to compensate for the damage suffered by our company or other third parties.In addition, if the above causes our company to be unable to use the space, the user will be required to pay the actual cost of the damage and the total amount of lost profits based on the usage fee. ・If the user or a person related to the user takes any action that interferes with the operation of our space or other business, the user will be required to pay the total amount of the actual cost of damages suffered by our company or other third parties and lost profits. ・We may provide a refund to the user only if the use of the space itself is not possible due to reasons attributable to our company. The refund will be within the usage fee paid by the user for the use in which the reason occurred, and the user agrees in advance that we are not responsible for lost profits such as lost opportunities.
